View or Update Action

View or Update Action

Once an action has been created either manually or based on user response, you can view the details and history for that action. You can also update the action.

View Action

To view an Action and all the details associated with it, click on the Actions tab on the left navigation bar to go to the Actions page.

Click on the desired Action. Let’s select the Open action from the above list. A new screen will appear, containing all the Action Details and Action History for that action.

The Action Details section contains the Category, Location, Description of the action, along with the name and contact details of the user who created the action.
The Action History section will contain the updates made to the action from the time that it was created, namely who the action has been assigned to at each stage of the action, remarks, images if any, action priority and the action status.

To view this in full screen, click on the arrow button.
To close the Action screen, click on the X button.

To download the Action details in PDF format, click on the PDF button at the top right of the screen.

If the action was created based on user response, then you will see an Audit Response button to the left of the PDF button on the top right of the screen.
This will allow you to view the details of the audit that this action was associated with.

If you click on the Audit Response button, a new tab will open, where you will be able to see all the details of the audit from where this action was created, such as the name of the audit, assigned user, etc. You will also be able to go through all the responses to that audit.

Update Action

Once an action has been created, either manually or based on user response, the default status will be Open.

Now, it is upto the assigned user to perform the Action. They can make changes to the action along the way.

The user can update the action status, depending on the progress made in completing that action.

Furthermore, the action can be assigned to a different user. Remarks can be added if required. Images can be attached as proof of task progress/completion.

These updates can be made on both web as well as mobile.

Note: Users assigned to the same location may be able to update action details even if the action was not assigned specifically to them.
To update the action on the web, click on the Actions tab on the left navigation bar to go to the Actions page.

Click on the desired Action. Let’s select the Open action from the above list. The Action Details screen will appear, containing all the Details and History of the action.

You will also see an Update Action section. This is where you can make desired changes.

Here, you can modify the action priority if required.

You can select the Action Status dropdown, and choose the relevant option if you want to update the status.

You can also assign the action to a different user if necessary.

You can add remarks if needed, or attach images to demonstrate action progress.

Once you have made the desired changes, click on Save.

Now, when you click on this action from the Actions page, you will observe that there is a new entry in the Action History section, containing the inputs/changes you provided above.

Thus, you can update action till it reaches Closed status to ensure that progress is catalogued and there is transparency among users.
Note: If SLA has been configured for the action, if the Action does not reach Closed status within the durations specified in SLA, then the managers will be notified as per the SLA configuration.
