Create Action

In order to inform users about a task to be performed either based on responses to an Audit or directly, you need to create an Action.

How to Access Actions

Click on the Actions tab on the main page, to go to the Actions page.

Alternatively, you can access the Actions page by clicking on the Actions tab in the left navigation bar of your screen.

Once you are on the Actions page, you will see a list of existing actions, with the status, priority, action number, location, category, description, assigned user, and date of the action.
Note: Actions will be visible to the Admin and assigned users on mobile, whereas on web, they will be visible to all users assigned to that location, regardless of action assignment.

You can filter the Actions using the filtering options available on the top of the Actions table. E.g., you can filter by action priority.

If no actions exist yet, you will see a blank page.

You will be able to create a New Action from this page.

Alternatively, you can create automatic actions based on responses to your checklist. To know more, please visit: Create Action based on User Responses.

Create an Action on Actions Page

To create a new Action, click on the +New Action button on the top right of the Actions page.

You will be taken to the Create Action screen.
Note: Only users who have permission to create Actions will be able to create them. The relevant permissions can be granted/revoked under the Roles functionality.

Action Details

Here, under the Action Details tab, first select the location for the action from the Location dropdown. Next, select the user that the Action should be assigned to from the Assigned To dropdown.

Note: It is mandatory to select the location before assigning a user to the Action, since the list of eligible users is retrieved based on the selected location.

Next, select the category from the Action Category dropdown. To know more about Action Category, please visit: Action Category.

Now, provide a description for your action in the Action Description textbox. This will make it easy for the user to understand what task they need to perform in order to complete this action.

Next, assign an action priority. There are 4 priorities available, listed below in order of importance:

  1. Low

  2. Medium

  3. High

  4. Critical

Actions which are not urgent or vital, can be assigned as Low priority, while actions that are urgent and significant can be assigned as Critical.

Next, you can add Remarks, if needed.

Finally, you can add images to the Action if required.


To configure SLA, go to the Configure SLA tab (described in detail further in this article). If you do not want to configure SLA, then click on Save. The action will be created, and will be visible on the Actions page.

Configure SLA

When you create an Action, you can establish certain Service Level Agreements (SLAs) to ensure compliance by the assigned user.

What is an SLA?

Here, SLA works as follows: if the action is not closed (determined based on Action Status​) within a specified duration, then that action will be escalated to specified user(s). This can be done at multiple levels, i.e., there can be multiple levels of escalation.

To configure an SLA, while on the Create Action page, after completing the requirements in the Action Details tab, click on the Configure SLA tab (shown above).

Now, click on the edit button next to the first escalation, to configure the first escalation.



You will be able to enter the duration (starting from the date & time of creation of the Action), in the textbox.

Select whether the duration is in hours or days by clicking on the toggle button.

Below, a duration of 2 Days has been specified, i.e., the first notification about SLA breach will be sent if the Action is not resolved by the 2nd day.


Now, from the dropdown, select the user(s) who should be informed if the action is not closed within the duration you have specified. Click on the green checkmark once you are satisfied with the details of the first escalation.
To create the next escalation, click on the Add button below the previous escalation.
Note: You can configure upto 3 escalations.

Fill in the details for the next escalation. Click on the green checkmark once you are satisfied with the details.

Once the escalation configuration is satisfactory, click on the Save button. The Action will be created along with SLAs.

Create an External Action

If you want to create an action that does not require specific users to be assigned to it, that can be performed by anyone, you can create an External Action.

To create an External Action, you can click on the External button located in the top right corner of the Actions page.


When you click on this option, a dialog box will appear with a QR code and choices such as "Copy URL," "Download Image," or "Download PDF."
By selecting Copy URL, you will be directed to the Action creation page. Create the action following the steps outlined previously, and click on Save. Now, your External Action has been created, and will be visible when you refresh the Actions page.
