View Audit Details

Once an audit has been created and performed by users, the details and analytics associated with the audit are captured on the Auditflo system.

You can view these details via the Audits page.

First, click on the Audits tab on the left navigation bar of your screen.

The Audits page will be displayed, as shown below.


Click on the desired audit from this list of audits.

You can also search for the desired audit using the search bar.

The page for that audit will be displayed, where you can view the Audit Dashboard by default.

The menu displayed on the left side of the page allows you to view various details and analytics associated with the completed instances of the audit.

If the same audit has been performed more than once, then we can refer to each performed audit as an instance of the audit.

You can filter audit instances by location, duration, and auditor name using the dropdowns below the audit title.

Dashboard

The Dashboard tab displays the number of audits performed in the past few days and till date, with a chart showing the number of audits completed in the last 30 days.


The Search tab allows you to look up responses that have been submitted under this audit. For e.g., if you search for the word "Compliant", all the questions containing that response will be displayed. Notably, if there are variations in the responses, such as "Non compliant" or "Partially compliant" , they will also be displayed here.
You can click on the question card in the results to view detailed audit responses.

Response Analytics

The Response Analytics tab displays the responses and the count of responses to individual questions in the audit checklist, in the form of horizontal bar charts. You can filter results by location, duration, auditor name and checklist version.


Auditors may provide different responses in different instances of the audit, depending on the ground reality while performing the audit. The individual charts will show the labels of responses selected so far on the vertical axis, along with the corresponding response count inside the bar, as shown below.

Even if there are more responses available to the auditors while responding to the question, only those which have been selected as responses will be displayed in the charts.


If the same response has been provided in multiple instances of the audit, there will be only one label on the vertical axis of the chart, and the count of responses within the bar, as shown below.


If you click on the 3 horizontal lines () on the top right of each chart, you will see options to download the responses in the form of SVG, PNG, or CSV files. You may select the desired option, and the file will download automatically.

Completed Audits

The Completed Audits tab will display the list of audits that have been submitted by users.

The audit name, location, auditor name, audit date and time, score, and grade will be displayed for each audit.


You may filter audits based on location, time range (duration), user assigned to this audit, checklist version, as well as specific questions or responses from the dropdowns at the top of the screen.

To view further details of an individual audit, click on the row of the concerned audit from the table. The Audit Details screen will be displayed, containing audit information, score, score trend, and responses to all questions.


You can also click on the  location button to view the location where the audit was performed on a map, and the  download button to download a PDF of the audit report.


Import Audits
You can also import audits into Auditflo, by clicking on the Import Audits button and uploading the audit files.
Note that the audit files should be in Excel format and follow the template provided in the Upload Files window so that they can be imported correctly.

Click on the Import Audits button. In the Import Audits window, click on the Download button to download the template file. Fill the audit responses into the template file, wherein each new row containing audit responses will correspond to one completed audit. Save this file on your system, and attach this file in the Upload File window. Click on Save. Now, the audit(s) will automatically be uploaded to your account.

You can check the Notifications () menu at the top right of the screen to view the import status or download the error summary in case there were errors in the import process.


Export Audits

You can export a summary of your audits in Excel file format. Select the desired audits using the checkboxes (in case of specific audit selection before exporting), or simply click on the Export button to obtain a summary of all the instances of this audit. You'll be able to view the audit locations, auditor names, audit dates, and more, which can be used to perform analysis of your choice!

If you select one or more audit instances using the checkboxes, you will see two additional options apart from Import and Export. 
  1. ZIP- Use this option to obtain a media ZIP file with separate folders for each selected instance of the audit, containing the PDF files or images that were uploaded by the user while performing the audit.
  2. Combine & Download- Use this option to obtain a single PDF file containing data pertaining to all the selected instances of the audit.
You will find the task progress and final files for download in the Notification () menu on the top right of the screen.



Calendar View

To view the schedule of audits on a calendar, you can use the Calender View tab. You can view the audit schedule on a weekly, monthly or daily basis using the Month, Week, and Day options at the top right. Audit instances will be displayed using their scheduled time and location.

Lapsed audits (audits which were not completed in the designated time) will be displayed in red, upcoming audits (audits which are due to be performed) will be displayed in yellow, and completed audits (audits that were finished and submitted within the designated time) will be displayed in green.

You can click on the desired instance in the calendar to view responses of that audit instance in detail.


Audit Responses

The Audit Responses tab will allow you to view the responses to all instances of the audit in tabular format.

The responses to all questions for the latest version of the checklist used in the audit will be displayed, for a duration of 1 month (i.e. responses from the past month). You can modify these parameters using the dropdown menus at the top of the screen.


Furthermore, there is an Export button available on the top right of the screen.


If you wish to export the questions and responses for this audit instance in Excel form, you can click on this button. An Excel file will be downloaded automatically, which will contain the details in tabular form.

Note: To obtain a PDF version of the audit questions and responses of an audit, go to the Completed Audits tab and click on the  download button next to the corresponding audit instance.

Audit Media

In the Audit Media tab, you will be able to view all the media files (images, PDF files) uploaded as part of audit completion. You can also select a specific question and view the media for that particular question if required, from the Questions dropdown menu.


In the case of image files, you will see the name of user who completed the audit, along with the date and time of audit completion displayed on the image.

You can export the media to a PDF file, or download them in a ZIP file, using the Export and Download buttons, respectively.

Score Analytics

The Score Analytics tab contains three options, Trend, Comparison and Heatmap

The Trend tab will display the trendline of scores that the audit has received.

The Comparison tab will display a table containing the scores of various instances of the audit across locations.

The Heatmap tab will display a heatmap of the audit scores across locations. You can download this heatmap using the menu () on the top right of the heatmap.

Map Visualization

The Map Visualization tab allows you to view the different locations where the instances of the audit have been conducted, on a single map.

Note: If all instances of the audit have been at the same location, only that location will be displayed.


Configuration

The Configuration tab allows you to modify the core characteristics of the audit, and changes made in this tab will be reflected in all future audits.

Note: The Name and Checklist of an audit cannot be changed after the audit was created.

You can make changes under the General Information, Configuration, and Schedule tabs.
