Audits: Create, Edit and Delete Audits

An audit is an examination or inspection of the state of a process or system, to ensure that it meets requirements. AuditFlo is here to help you manage your audits better, and make the whole process seamless for you!

Click on the Audits icon on the left sidebar and you will be taken to the list of audits.



Create New Audit

Click on the + New Audit button on the Audits page. A New Audit window will open. To navigate between tabs, use the Next or Back button at the bottom of the screen

1. General Information


Under the General Information tab, provide a suitable Name for the audit, and select the Checklist that should be used for performing this audit. To know more about creating checklists, visit: Create a Checklist.
Note: Once the Name and Checklist have been selected for an audit, they cannot be changed later.

Enable External Audit

When this setting is enabled, even users who are not registered on Auditflo can complete the audit. Furthermore, you will not have to specify which Roles or Users can access the audit. To know more, please visit: External Audits.

Filter by User Role

You will have the option to filter the users assigned to perform an audit using this feature. Type in the desired Role, or select the role from the dropdown. The audit will be restricted to the users having this Role.

Include Users from Parent Location

When this option is enabled, all users assigned to the parent location will be assigned to perform audits at the corresponding sub-locations.
To remove specific users from this list, simply click on the x button next to their names.

Select Location(s) and Users

Select the desired location where the audit should be performed. You may select either all locations, or specific parent locations or sub-locations by selecting the corresponding checkboxes. To know more about creating locations, please visit: Locations.

Note: At least one location has to be selected to create the audit successfully.
When you select a location, a list of all eligible users from that location will be displayed. If you do not want the audit to be accessible to certain users, remove them from this list, by clicking on the x button next to their names.
Note: If any of the assigned users performs the audit, it will be considered complete. If you want each of the users to perform the audit, enable the Everyone Needs to Complete option described below.

Click on the Next button at the bottom of the page once done, to proceed to the next screen.

2. Configuration


In this tab, you will get additional options to customize your audit.

Schedule Audit

When this option is enabled, you will get to specify date, time, and frequency of your audit. Click on the toggle switch to enable this option. To know more, visit: Schedule Audits.

Everyone Needs to Complete

When this option is enabled, each of the assigned users will have to complete the audit, not just one of the assigned users. Click on the toggle switch to enable this option.

Allow Editing after Submission

When this option is enabled, it will be possible to edit responses to the checklist even after they have been submitted. This ensures that any accidental/incorrect responses can be corrected. Click on the toggle switch to enable this option.

Activate Geofencing

When this option is enabled, the user will only be able to perform the audit within the assigned location, with an additional radius as a buffer. This ensures that the user’s device has to be present at the designated location, in order to perform the audit.

Click on the toggle switch to enable this option. A textbox will appear, where you have to specify the radius from the geographical coordinates of the assigned location, in meters. E.g., a value of 500 meters will mean the user’s device has to be within 500 meters from the location. They will be unable to perform the audit outside this area of coverage.

Allow submission after scheduled time

When enabled, users will be able to submit the audit even after the expected completion time, within a specified duration. Click on the toggle switch to enable this option. A textbox will appear, where you have to specify the additional duration after expected submission time, in minutes.

E.g., if an audit is due by 6 pm and you have specified 30 minutes as the buffer time, then the user will be able to submit the audit by 6:30 pm without the audit going to Lapsed state.

Select Report Format

For the report that will be generated containing the responses to the completed audit, select the format that best suits your requirements. The formats are described below, along with a sample snapshot of each report type.

  • Simple cards: Questions and responses will be grouped into cards, where each section has an individual card. This is the default type, even if you do not select a different report format.


  • Default with Issues: Questions and responses will be grouped into sections, and unfavorable responses that trigger automatic Actions will be marked in red.


  • Default with Issues and Past Reponses: Questions and responses will be shown, unfavorable responses will be marked in red along with the action created, and past responses for the questions will also be shown.



  • Default with Past Responses Only: Questions and responses will be shown, along with the action created, and past responses for the questions.


Send Report To

Select the user(s) that the report needs to be sent to using the dropdown menu. They will receive the report via email automatically, once the audit is completed by the respondent.

Notify User if Lapsed

Select the user(s) that should be notified via push notifications/email if the audit is not completed in due time, using the dropdown menu.


If you have enabled Schedule Audit, you will be shown the Next button at the bottom of the page. Click on this to proceed to the Schedule tab. If not, you will be shown the Save button, and the audit will be created once you click on it.

3. Schedule


In this tab, you will get you will get to specify date, time, and frequency of your audit. To know more, visit: Schedule Audits.

Once you have provided the necessary details for the audit, click on Save to activate the audit, and you’re all set!

Edit an Audit

From the list of audits, you can click on the pencil icon on the right side of the table, to edit a particular audit.

You can also click on the audit name in the list of audits, and you will be able to edit it on the next screen.

Delete an Audit

From the list of audits, you can click on the trashcan icon on the right side of the table.

In the dialog box that appears, click on the Delete button to delete your audit.
